International Services Specialist

Job Summary
The International Services Specialist supports the general office functions and administrative support functions of the Global Engagement Office's English Language Program and Passport Acceptance Facility.

Job Description

Typical duties may include but are not limited to:
  • Serves as a public contact for the English Language Program and Passport Acceptance Facility; answers inquiries by e-mail, mail, telephone, and in person.
  • Serves as Passport Acceptance Agent.
  • Responsible for daily operations and clerical responsibilities of the FGCU Passport Acceptance Facility including reviewing and accepting applications, educating customers on associated Federal and State guidelines and processes, cashiering, and quality control.
  • Processes international applicant files and materials, including foreign transcripts, financial documentation for immigration paperwork review, preparation and verification.
  • Ensures appropriate data collection and record keeping for the passport operations.
  • Interfaces with the US Passport Agency in Miami and maintains the updates and communications from same.
  • Researches and evaluates all documents for completeness to ensure complete academic record is entered on computer system.
  • Coordinates travel arrangements, makes reservations, and processes reimbursements for program staff and affiliates.
  • Ensures the highest level of confidentiality and service is provided to all customers
  • Maintains and updates student lists, prepares mailings, and performs data entry.
  • Maintains office supply inventory, interacts with vendors, or serves as unit contact for space, equipment or facility issues.
  • Assists with coordinating events for the Global Engagement Office.
  • Assists with online training modules; updates office handouts and mailings, forms, and website.
  • Assists with Compiling information concerning the transactional processing of fees or expenditures including collection of English Language Program tuition.


Other Duties:
  • Performs other job-related duties as assigned.


Additional Job Description

Required Qualifications:
  • This position requires a high school diploma and four years of full-time experience directly related to the job functions.
  • Current US Acceptance Agent certification or ability to obtain within three months of employment.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).


Preferred Qualifications:
  • Work experience in a higher education setting.
  • Experience with Workday.
  • Experience with International students.
  • Experience with immigration and visa requirements for international students.
  • Experience as a Passport Acceptance Agent.


Knowledge, Skills, and Abilities:
  • Knowledge of general office procedures.
  • Excellent interpersonal, verbal and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects within deadlines.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to operate office equipment including personal computer, copy machine, fax machine, and calculator.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
  • Ability to interpret and apply laws, regulations, policies and procedures consistently.
  • Ability to adapt quickly to changing situations and environments.
  • Ability to analyze and solve problems, draw valid conclusions, and/or develop appropriate alternatives where applicable.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
